For Volunteers
No. You can sign up for most events with just your name and email — no password required. You'll get a secure link by email to manage or cancel your signup later.
Yes, if the organizer allows it. Use the management link from your confirmation email to change your slot or cancel.
Full positions are marked "Full" and can't be selected. If the organizer has enabled a waitlist, you'll see an option to join it — the organizer can move you off the waitlist if a spot opens up.
Some organizers add their own custom questions to a signup or to a specific slot (like a T-shirt size or dietary restriction) — answer whatever they've asked and it goes straight to that organization's roster, never anywhere else.
If an event has potluck tracking turned on, you'll see a list of items still needed when you sign up. Claiming one reserves it for you (or you can list your own "something else") so organizers can see at a glance what's still needed.
Managing Your Signup & Volunteer Hours
Every confirmation email includes a "Manage your signup" link. It's a secure, personal link — no password needed — that takes you straight to your signup for that one event.
No — hours are recorded by the event organizer, not self-reported. This keeps the record trustworthy for anyone who needs proof of service (a school, a court, a scholarship program, etc.).
Once your organizer has recorded hours for your signup, open your management link and click "Download PDF Receipt." It's a real, printable PDF showing the event, the hours recorded, which administrator recorded them, and exactly when — everything you'd need to submit as proof.
Yes, if your signup is active. From your management link, use the Receipts card to upload a photo or PDF of a receipt (for reimbursement, supplies, etc.). The organization can view and download whatever you upload from that event's Roster page, and you can remove your own upload at any time.
Registration, Donations, Teams & Sponsorships
Active Affair uses PayPal links provided by the organization. You'll be taken to PayPal to complete payment, then returned to the event page. Depending on how the organization set up PayPal, your payment may be confirmed automatically when you return, or it may show as pending until the organizer checks their PayPal account and confirms it by hand.
If the event allows teams, you'll see an option to create a new team or join an existing one from the registration page.
If the event allows it, every team and every individual participant gets their own public fundraising page with a "Sponsor" option — sponsoring works the same way as donating: a PayPal link, confirmed the same way as any other payment on Active Affair.
Every participant and team gets a shareable page with a "Share" button — copy the link or share directly to social media.
Your Volunteer Profile & Finding Events
Yes — every volunteer gets a profile page showing your first name and last initial (never your full contact info), your total volunteering history across public events, and any badges you've earned. You can share it if you'd like, or simply ignore it.
Badges are earned automatically based on how many events you've completed: 🌱 First Timer (1), ⭐ Regular Volunteer (3+), 🏅 Dedicated Volunteer (5+), 🏆 Volunteer All-Star (10+), 👑 Volunteer Legend (20+). There's nothing to apply for — they just show up once you've hit the milestone.
Use the public event directory to search by title, cause, location, sponsor, or tag — no account needed to browse.
Yes, most organizations have a public profile page listing their upcoming and past events, alongside their description and branding.
For Organizations
Creating an organization, publishing events, and collecting signups, registrations, donations, and sponsorships is free. The one paid feature is emailing your volunteers and contacts: sending a message — whether a bulk campaign or a single email to one volunteer — costs $0.005 per recipient, charged to your card on file right before the send. Writing a draft, using the AI writing assistant, and sending yourself a test copy are all free; you only pay once you actually hit send, and you'll see the exact recipient count and total before you confirm.
Yes. Organization owners can invite additional administrators by email from Settings → Users, and anyone who belongs to more than one organization can switch between them from the account menu.

You can connect either a plain PayPal email address or a paypal.me link in Settings — Active Affair never touches the money either way; it goes straight to your own PayPal account. The two behave differently for tracking: a plain email address lets us automatically mark a donation, sponsorship, or registration fee as received as soon as the payer finishes on PayPal. A paypal.me link doesn't support that — PayPal itself doesn't give us anything to detect completion with, so every payment through a paypal.me link stays pending until you personally check your PayPal account and confirm it from the event's Donations page. Either way, treat the Donations page — not the public fundraising total alone — as the source of truth for what's actually been confirmed, and reconcile against your real PayPal account before relying on any total for reporting.
Every event's Roster page lets you add volunteers manually, edit their info or move them between slots, mark them Checked-In / No-Show / Removed, record hours, export the whole roster to CSV, and review and download any receipts they've uploaded.
Yes — compose a one-off email to a single volunteer or a filtered campaign to a group, with real AI-assisted subject line suggestions and message drafts you can use as-is or edit. The AI assistant only ever sees the event's title, date, and location plus whatever instruction you type in — it never sees any volunteer's name, email, phone, or answers.
Yes — every event with donations, sponsorships, or paid registration has its own Donations & Sponsors page showing what's confirmed, what's still pending, and what's been cancelled, with the ability to confirm or cancel anything by hand.
Yes — schedule reminder emails ahead of an event and they go out automatically, no need to remember to send them yourself.
Yes — every volunteer, donor, or participant who interacts with your organization is automatically added to your Contacts list, with tags, notes, custom fields, groups, and full participation history.
Yes — built-in reports cover event signups, open positions still needing volunteers, overall volunteer participation, and donation/sponsorship totals.
Yes — upload your organization's logo and a cover photo from Settings, and add a header photo and photo gallery to any individual event.
Account & Privacy
By default, volunteer and participant names are shown as first name + last initial only. Email, phone, and custom answers are never shown publicly.
Reply to any email and ask the organization to stop, or ask one of their administrators to mark you unsubscribed from their Contacts list — future messages already skip anyone marked that way. We don't have a self-service unsubscribe link in every email yet. Emails tied to something you personally signed up for (like a confirmation or reminder) are separate and will keep going out until the event is over.
